Do You Have to Use Safer Food Better Business? | SFBB Guide

Safer Food Better Business: The SFBB Diary Isn’t Actually the Law

If you run a café, restaurant, pub, takeaway or other food business, there is a good chance you have come across the Safer Food Better Business pack, usually known as SFBB.

You may even have been told that you have to use it. But that is not quite true.

You do not legally have to use the Safer Food Better Business diary specifically.

What you do need is a suitable food safety management system based on HACCP principles, with appropriate procedures and records that are kept up to date. Safer Food Better Business is one way of doing that. It is not the only way.

So, can you ditch the SFBB folder? Can you replace it with a digital food safety system? And what will an Environmental Health Officer actually expect to see?

Here is what food businesses need to know.

What is Safer Food Better Business?

Safer Food Better Business (SFBB) is a food safety management system produced by the Food Standards Agency for smaller food businesses in England and Wales. There are different versions and supporting materials for businesses including caterers, retailers, childminders and residential care homes.

The pack helps businesses manage areas such as:

  • Cross-contamination
  • Cleaning
  • Chilling
  • Cooking
  • Food safety management
  • Daily food safety records

For many small food businesses, it is a straightforward way to get a documented food safety system in place without having to develop a full HACCP system from scratch.

And importantly, it is free.

Benedict's Law 2026

Is Safer Food Better Business a legal requirement?

No. Safer Food Better Business itself is not a legal requirement.

This is where the confusion often starts. Food businesses must have food safety management procedures based on Hazard Analysis and Critical Control Point principles, better known as HACCP.

Businesses also need to maintain appropriate documents and records relating to those procedures and review them when their operation changes. The Food Standards Agency provides Safer Food Better Business as a practical way for smaller businesses to meet these requirements.

That does not mean the law says: “You must have an SFBB folder.”

It means you need an appropriate food safety management system. SFBB is one recognised way of achieving that.

So can you stop using your SFBB diary?

Potentially, yes. But you cannot simply throw the diary away and stop recording your food safety controls.

If you replace Safer Food Better Business, your alternative system still needs to properly reflect how your business manages food safety.

That might include procedures and records covering things such as:

  • Opening and closing checks
  • Fridge and freezer temperatures
  • Cooking and reheating
  • Hot holding
  • Cleaning
  • Deliveries
  • Cross-contamination
  • Allergens
  • Staff practices
  • Corrective actions when something goes wrong

Exactly what needs to be documented will depend on your operation and the risks involved. The important question is therefore not:

“Do we have an SFBB diary?”

It is:

“Can we demonstrate that our food safety risks are being properly identified, controlled, monitored and recorded?”

That is a much more useful way to think about food safety management.

Digital Food Safety System

Can the Safer Food Better Business diary be digital?

Yes.

Even if you want to continue using the SFBB approach, the Food Standards Agency says completed diary pages can be stored electronically rather than relying entirely on printed copies. But there is another option.

You can use a different digital food safety management system instead of basing everything around the SFBB diary, provided the system is appropriate for your business and meets your food safety management requirements. This distinction matters.

A digital food safety system does not simply need to recreate a paper SFBB page on a screen. It can be built around the actual checks, hazards and procedures within your business.

The bigger problem with paper SFBB diaries

For many businesses, the issue is not that Safer Food Better Business is a bad system. The issue is what happens to the system during a busy week. A paper diary relies heavily on someone remembering to complete it. If a check is missed, management may not know. If a fridge temperature is too high, somebody can write it down, but that does not automatically make sure the problem is followed up. And if you manage several kitchens or locations, finding out what happened often means physically checking paperwork at each site.

The diary may exist.

That does not necessarily mean the system behind it is working particularly well.

A tick is only useful if something happens next

This is one of the biggest differences between basic record keeping and properly managing food safety. Imagine somebody records a fridge temperature of 11°C. Writing “11°C” on a temperature sheet proves somebody took a reading. But the important part is what happened afterwards. Was the food moved? Was the fridge checked? Was a manager told? Was an engineer contacted? Was the problem resolved?

A good food safety system should help staff understand what they need to do when something is wrong, not simply give them somewhere to record the problem. That is why we think digital food safety should be more than another tick box.

What does an EHO actually look at?

During a food hygiene inspection, an Environmental Health Officer is not simply checking whether you own the right folder. They look at how your business actually manages food safety.

Under the Food Hygiene Rating Scheme, this includes:

  1. How hygienically food is handled
  2. The physical condition and cleanliness of the premises
  3. How the business manages food safety

That third area includes your processes, staff knowledge, training and the systems you have in place to maintain good standards. Your documented food safety management system can therefore play an important part in demonstrating that your business is properly controlled. Having pristine paperwork that nobody understands is not the goal.

Your procedures need to reflect what actually happens in the kitchen.

What can you use instead of Safer Food Better Business?

There is no single answer for every food business. For some small businesses, the traditional SFBB pack may still work perfectly well. For others, especially businesses with larger teams, more complicated operations or several locations, a digital system can make food safety much easier to manage.

At Food Safety Guru, we build the food safety setup around the business rather than simply handing over a generic set of digital forms.

This can include:

  • Digital opening and closing checks
  • Temperature monitoring
  • Cleaning and maintenance checks
  • Delivery checks
  • Allergen procedures
  • Corrective actions
  • HACCP documentation
  • Risk assessments
  • Staff training records
  • Alerts for missed or failed checks
  • Management oversight

Your team completes the relevant checks digitally, while records are kept together and can be retrieved when they are needed.

If something goes wrong, staff can also record what happened and what action was taken rather than simply ticking a box and moving on.

Should you replace your SFBB diary?

If your Safer Food Better Business system is properly completed, kept up to date and works well for your business, there is no reason to replace it simply because it is paper. But ask yourself a few questions.

Are checks regularly missed?

Do staff actually understand what they are recording?

Can you quickly see when something goes wrong?

Can you prove what action was taken afterwards?

Could you find the records an EHO asked for without searching through folders?

If you manage several sites, can you see what is happening without physically visiting each one?

If the answer to some of those questions is no, the problem may not be your food safety procedures. It may simply be the way you are managing them.

The bottom line

You need a proper food safety management system.

You do not have to use Safer Food Better Business specifically.

SFBB remains a useful, free system produced by the Food Standards Agency and it works well for many businesses. But food safety management has moved on from the idea that everything needs to live inside a paper folder. Your records can be electronic, and businesses can use alternative HACCP-based systems that are appropriate for their operation. So if you are tired of chasing SFBB diaries, checking paperwork or wondering whether today's checks have actually been completed, there is another option.

Food Safety Guru replaces paper food safety records with simple digital checks, HACCP documentation, corrective actions and management oversight in one system.
